BYU-Idaho provides established email channels for communicating with on-campus students and employees. Choose the channel that best fits your message, then use Design Conductor to create a graphic and submit your communication request.

Choose the Right Email Channel

BYU-Idaho provides established email channels for communicating with students and employees. Choose the channel that best fits the purpose and priority of your message, from recurring campus information to high-priority stand-alone announcements.
Important & Required Information
Advisory communicates information students and employees need to know or that the university is required to disclose. Examples include academic and financial aid deadlines, scheduled IT maintenance, campus construction and road closures, fee disclosures, and university policies.
Promotional Campus Information
The Feed shares promotional information that may interest students and employees, including events, activities, sales, volunteer opportunities, and other campus announcements.
Stand-Alone Messages
Official Announcements are reserved for important university messages that warrant a dedicated email rather than inclusion in a recurring campus email. Examples may include messages from the university president, significant HR updates, and other high-priority institutional communications.

Usage Guidelines

Identify Your Audience
Determine who needs the information before submitting your request. Select the smallest appropriate audience rather than sending a message more broadly than necessary.
Choose the Right Channel
Use Advisory for information audiences need to know, The Feed for promotional campus information, and Official Announcements for significant institutional messages that warrant a stand-alone email.
Keep the Message Focused
Center each communication on one primary message. Make the most important information, deadline, or action easy for readers to identify.
Use Design Conductor to create a brand-aligned graphic sized for Advisory or The Feed. If your communication does not require a graphic, you can proceed directly to the email request.
Provide a Clear Next Step
When action is required, tell readers what to do and link directly to the appropriate webpage, form, registration, or resource.
Plan Ahead
Submit requests with enough time for review, scheduling, and any necessary revisions or design work.
Follow Brand and Accessibility Standards
Email copy, graphics, images, links, and other content should follow BYU-Idaho brand and accessibility standards.
Reserve Stand-Alone Emails for Priority Messages
Official Announcements are reserved for significant institutional communications that should not be combined with recurring campus emails. University Communications determines when a stand-alone email is appropriate.
Submit your communication through the email request form. Provide the message, intended audience, preferred timing, and any supporting links or materials needed to evaluate and prepare the communication.
No. Requests are reviewed based on the communication need, audience, timing, and appropriate use of university email channels. University Communications may recommend another channel when it would better meet the communication objective.
Submit requests as early as possible to allow time for review, scheduling, design, and revisions. At a minimum, Advisory requests are due by Thursday at noon for the following Monday, and Feed requests are due by Tuesday at noon for the following Thursday.
You may submit the communication need for consideration. Official Announcements are reserved for high-priority institutional messages, and University Communications determines when a stand-alone email is appropriate.
Not every email requires a graphic. For Advisory or The Feed messages that use one, create the graphic in Design Conductor using the appropriate email format. Official Announcements may use a different format depending on the communication.
