Student: New Hire Process

As a new employee there are a few things that you need to do before you begin working. Please come to the Human Resources Office with your proper forms of identification (Listed below).

List A Documents that establish Both Identity and Employment Authorization

U.S Passport or U.S Passport Card

Permanent Resident Card or Alien Registration Receipt Card

Foreign passport that contains a temporary I-551

Employment Authorization

OTHER OPTIONS

Passport from the Federated States of Micronesia (FSM) or the Republic of the Marshall Islands (RMI) with Form I-94 or Form I-94A indicating nonimmigrant admission under the Compact of Free Association Between the United States and the FSM or RMI

List B Documents that establish Identity

Driver's License or State ID

Federal, State or Local Government ID card

School ID with photograph

Voters Registration card

U.S Military card or draft record

Military Dependents ID card

U.S Coast Guard Merchant Mariner Card

Native American tribal document

Canadian Driver's License

Employment Authorization Document (Permanent Resident)

ACA: The ACA Tool shows your current total ACA hours worked. The ACA Forecasting Tool projects the number of ACA hours an employee will have on a specified date and the average weekly hours available until the end of the yearly measurement period.

This is useful to determine how many hours a student can work on his/her on or off-track, between semesters, etc. It helps managers to plan appropriately a student's hours, while keeping them under the 1,300 hour limit.

  1. Select the Time Worklet
  2. Click Check In or Check Out at the bottom of the page, beneath Time Clock
    1. A new window will pop up for you to Check In or Check Out.
  3. Verify that Worker, Date, Time and Time Zone information is correct.
    1. In the Check In popup window:
      1. If working more than one job, use the drop down menu to select the applicable correct job title in Position.
    2. In the Check Out popup window:
      1. If working more than one job, use the drop down menu to select the applicable correct job title in Position.
  4. Enter a comment if necessary
  5. Click OK
  6. Click Done
  1. Click the Time Worklet
  2. Click This Week, Last Week, or Select Week in the Enter Time column (Note: Any one of these options will show a calendar showing all of your time for the week you selected).
  3. Verify that the entered hours are correct and entered for the correct job.
  4. Click the green Submit button
  5. Review the information and click the green Submit button to send to your supervisor for approval.
    1. Once you have submitted your time it will be sent to your supervisor(s) or department timekeeper(s) for approval. You will see an Up Next message appear after submitting your time. This informs you who will be approving the time submission and what processes remain.

      Notes: The time blocks on the calendar view are formatted to show the submission and approval status:

      Grey Striped: Time that needs to be submitted.

      Solid Grey: Submitted time that has not yet been approved by the supervisor.

      Green: Approved time

      Yellow: Time was not approved by supervisor, and was sent back for editing.
Your Paystub is useful for many different things. It is mainly a proof of employment and address. To find your Paystub:
  1. Login to Workday
  2. Select the Pay Worklet
  3. Select Payslips
  4. View one of your Payslips
  5. Select Print Payslip Image
  6. Click on your profile picture in the top right hand corner
  7. Select Notifications in the drop down menu
  8. It will then appear once it is ready to print
  1. Login to Workday
  2. Select the Pay Worklet
  3. Select Payment Elections under the Actions column
  4. To Add account information select
  5. Fill in all required fields
  6. Click Done

  1. Log into www.byui.edu
  2. Click on the More tab
  3. Choose Student Employment in the drop down
  4. Click on Privacy Training in the bottom right box
