Surplus Computer Policy

 

PURPOSE:

This policy guides the surplusing of computers by BYU-Idaho.  All employees are required to ensure computers that will no longer be utilized by the campus conform to this policy.

 

AUTHORITY:

The authority to determine which computers should be surplused lies with the BYU-Idaho Division of Information Technology (IT).  The evaluation and determination of whether or not a computer will be utilized on campus or surplused will be according to guidelines established by the IT Division.

 

EVALUATION CRITERIA:

Determination of how the computer should be surplused will be a coordinated effort between the IT Division and the Purchasing (Surplus) Department.  There are several alternatives established which can be utilized to surplus computers and should be considered according to the following prioritization:

 

1.      The Church Headquarters Local Unit Support Team has authorized local units to use surplused computers available from the University as long as these computers meet specified criteria.  Local Units interested in obtaining surplused computers may submit a written request to the Surplus Office.  The Surplus Office will contact a Church representative to verify machine specifications and obtain approval.  Upon approval, arrangements will be made with the Local Units to pick up the computers.

 

2.      The Surplus Office will coordinate with other Church entities who have expressed interest in using the surplus computers including:                      The Church Humanitarian Effort

                     The Family History Department

       Other Church entities may be added at a future date. 

 

3.      Computers surplused through the regular process and will be made available to on campus or off campus individuals.

 

4.      Computers which are not surplused through any of the above processes will be given to the Deseret Industries. 

 

5.      When approved by the Associate Vice President for Technology, retiring employees can purchase computers without going through the normal surplusing process.  Computers should be sold at an amount designated by the IT Division and the Surplus Office.  Retirees should be made aware of the licensing requirements and are expected to adhere to them.

 

6.      Any exceptions to this policy must be approved by CTC.
