Electronic Calendar Sharing

Stay tuned for our pending move to Exchange Online which will allow sharing with students much more fluidly.

Share Access
Outlook Web App
  1. Open your mailbox through the EMAIL tab in my.byui.edu 
  2. Click the name of the calendar you want to share
  3. Click "Share" in the top-right
  1. Open your mailbox through the EMAIL tab in my.byui.edu
  2. Click "Calendar"
  3. Right-click "MY CALENDARS"
  4. Click "open calendar"
Outlook 2010/2013 (Windows)
  1. Right-click the calendar
  2. Properties
  3. Permissions tab
  • To notify users that your calendar has been shared use the "Share Calendar" button. 
  • If you see an error message, be sure you're using the latest update of that user's address from the GAL.  You may need to remove any stale AutoComplete entries.
  • To grant calendar permissions to student employees please contact emailhelpdesk@byui.edu with the name of the Employee(s) and the Student Role or call the Help Desk to create a ticket.
  1. Right-click "My Calendars"
  2. Add Calendar
  3. Open Shared Calendar...
  • Students should be logged in to Outlook using the department email address.
Outlook 2011 (Macintosh)
    1. Click Outlook > Preferences > Accounts > Select your account > Advanced > Delegates tab.
    2. Under "People I am a delegate for:", click the +
      1. NOTE: Even though this seems backward, it works.
    3. Type respective name in the search box and click Find.
    4. Select the account and click OK > OK.
    5. Close the Accounts window.
    • To grant calendar permissions to student employees please contact emailhelpdesk@byui.edu with the name of the Employee(s) and the Student Role or call the Help Desk to create a ticket.
    • To grant calendar permissions without giving send-on-behalf permissions:
      1. Organize tab
      2. Permissions
    1. File > Open > Open Other User's Folder.
    2. Click on the Address Book icon and enter the last name, first name and select Find
    3. Select the name and click OK
    4. Make sure Type = Calendar and click OK.
    • Calendar Sharing is not supported for Student Employees using Outlook for Mac 2011.

      • Permissions:

        • Availability only
          • Free/Busy Only
        • Limited details
          • Read some details.
        • Full details
          • Read all details.
        • Editor
          • Read, Create, Modify, Delete.
        • Delegate
          • Send meeting requests and meeting responses to:
            • Delegate only.  Send me notifications.
            • Delegate only.
            • Both my delegate and me.
      • If you see the following error message: "Calendar sharing is not available with the following entries because of permission settings on your network..."
        • Delete the AutoComplete entry for the "following entries" and allow Outlook to get a fresh copy of the entry(ies) from the Global Address List (GAL).

      Importing a Google Calendar

      From Google Calendar Details:

      1. Private Address
      2. ICAL
      3. Copy

      From Outlook:

      1. Open Calendar
      2. From Internet
      3. Paste
