This article provides information about how to merge, create, and view archives in Outlook 2011.


Merging Archives to the Server

1. Drag messages from the On My Computer folder to the BYUI folder.

2. Open Outlook.

3. Click Preferences.

4. Click General.

5. In the window that appears, check the Hide on My Computer folder option.

Creating Archive Backups

1. Open Outlook.

2. Click File.

3. Click Export.

4. Select the files you wish to export, then click the right arrow.

5. Choose whether you would like to delete the data you are exporting from the mailbox, then click the right arrow again.

6. Enter a name for the backup file, choose a location in which to save the file, and then click Save.

Viewing Your Archives

1. Open Outlook.

2. Click Preferences.

3. Click General.

4. Uncheck the Hide on My Computer Folders option. Now your Inbox folder should have a dropdown arrow next to it.

5. Click the dropdown arrow to expand the section. You will now see two inboxes: BYUI and On My Computer.

  • BYUI is your live e-mail inbox on the Exchange server.
  • On My Computer is your archive e-mail box.
