Information Privacy Training

Information Privacy Training (including FERPA regulations)

Process:

1) New employees (including student employees) will receive an email within 24 hours of being hired, asking them to take the Information Privacy Training. (Instructions will be included with the email.) Once they have completed the training, their names will be stored in a computer database.

2) If a new employee needs "expanded access" to special computer systems (i.e. iSeries, Jenzabar, etc.) on campus, a supervisor will log-in to "mybyui" (and click on the "employee" tab) and click on the link entitled "Supervisor Request for Special System Access" and follow the instructions listed.

PLEASE NOTE: Before a supervisor can grant special system access to a new employee, that supervisor will need to be added to a database of authorized users. To be added to this database, please contact Kristine Summa in the HR office. Only one regular full-time employee per department (preferably a manager or director) will be able to grant access. 


Summary of Privacy Training:

  • Privacy Training is required for all new employees (full-time, part-time, and student employees), whether they need expanded computer access or not.
  • The Privacy Training deals with "information privacy" laws and the university's applicable policies and procedures.
  • The training must be completed before a new employee receives expanded access to university computer systems (CX/Jenzabar, i-Series, faculty web pages, etc.).
  • Current/on-going university employees will soon be required to complete the Privacy Training on a regular basis.

Helpful Hints: 

  • All employees (full-time, part-time, and student employees) have access to the Privacy Training through their "mybyui" account on the BYU-Idaho homepage. (See the "employee" or "student ... academic forms" tabs after you have logged-in to your "mybyui" account.
  • If you have been recently hired and do not see the email invitation to the Privacy Training in your inbox, look in your "junk mail" account to see if it was routed there.
