Policy

BYU-Idaho administers the Higher Education Assistance program to help three-quarter to full-time staff and administrative employees obtain master’s degrees from accredited universities. This program is granted to employees to encourage self-improvement which will benefit both the university and the individual. Doctorate degrees typically will not be funded except in rare circumstances. Procedures

Preference will be given to master’s degree seeking applicants. Employees should use their BYU-Idaho tuition waiver benefit (explained in Policy 2-7: Tuition Benefits) for undergraduate courses.

Higher Education Assistance is provided as follows:
  1. Tuition costs are reimbursed on a per credit basis up to a maximum per credit rate established by the university, not to exceed actual costs incurred by employees. Miscellaneous fees such as book fees, class fees, and other non-tuition expenses are ineligible for reimbursement.

  2. Part-time graduate fees are considered tuition in administering this policy.

  3. Total reimbursement may not exceed the calendar year limits set out in the Internal Revenue code.

  4. Reimbursements are issued upon successful completion of program courses each semester.

  5. Participants may be allowed assistance for thesis projects that extend beyond the participant’s graduate plan at the University’s established per credit rate for one additional semester.

Participation Requirements:
  1. Staff and administrative employees are welcome to apply for Higher Education Assistance.

  2. A minimum of three years of full-time service is expected prior to receiving tuition assistance.

  3. Eligible employees may receive tuition assistance for one master’s degree.

Return of Funds:

In the event an overpayment occurs, the employee is responsible for returning the funds to the university.

Graduate Plan Requirement:
  1. Those awarded assistance will be required to provide a graduate plan to HR prior to participating in the program.

  2. Participants are expected to follow their graduate plan, but may be granted an additional semester of assistance to allow the employee flexibility with life changes.

Application and Approval Process:
  1. Employees must apply online for assistance by May 31 in order to be considered for funding the following year.

  2. All applications will be reviewed by Human Resources and President’s Council during June.

  3. Employees will be informed of decisions related to their application following the review.

  4. The review committee will prioritize and approve applications using the following criteria:

    1. Line management review
    2. Relevance of the degree to the employee’s job
    3. Perceived university benefit
    4. Past assistance provided to the employee
    5. Years of service
    6. The degree being sought
    7. The availability of funds.

Reimbursement Process

To receive reimbursement for courses completed, please submit the following forms to Human Resources:

  • Reimbursement Request Form (see button above)

  • Unofficial transcript, showing that class to be reimbursed has been completed and passed.

  • Financial statement indicating proof of class being paid for by participant.

Once these three items have been submitted, it normally takes up to 48 hours for the reimbursement to be processed.
