New Scheduling Process
BYU-Idaho has implemented the Event Mangement System (EMS) as a tool to track reservations and the details associated with them.
Events Management
Successful events begin with identifying objectives and allowing plenty of time for planning and preparation. Events Management helps consolidate the processes for events. Events at BYU-Idaho are a shared stewardship with a distinction between the sponsor and the event coordination staff:
Coordinated through Events Management
- Confirming date and space availability
- Custodial and room setup
- Audio/visual needs (lights, sound, teleprompter, microphones, video)
- Ushering and emergency services (required if over 1,000 guests in attendance)
- Ticketing (arrange through Ticket Office located in Kimball Building)
Responsiblities of the Sponsor
- Calendar a date and schedule location (submit scheduling request online; pre-check for potential conflicts by browsing for space)
- Identify target audience (estimate capacity and the type of guests attending)
- Speaker clearance, if applicable
- Develop appropriate communication (counsel with University Communications or Alloy)
- Produce printed programs, invitations, or promotional material (work with University Press)
- Catering and food (order through Catering Services of University Food Services)
- Hosting guests
- Seating charts
- Program and conducting notes
Scheduling requests should be submitted at least 3 working days in advance.
